Scan a paper document and prepare a readable PDF

How to approach scanning, corner correction and readability before exporting a document.

Before you begin

Scanning is not just taking a photograph. A useful scan should capture the full page, keep text legible and avoid hiding edges or signatures.

The PDF FORMS website includes a scan capture route with corner adjustment. Camera availability and quality depend on the browser, device and lighting.

Set up a stable capture

Place the page flat against a contrasting surface. Use diffuse light and avoid reflections across stamps or printed text.

Check all four corners

Make sure the page border is included. Cropping too closely can erase a reference number or a signature box.

Inspect the result at normal size

Zoom into fine print and check that dates, handwriting and any codes remain readable, not just the heading.

Choose a useful export

Use PDF when the recipient expects a document or several pages; JPG or PNG can be useful when a single page image is requested.

A practical example

A paper letter contains small print at the bottom and a handwritten signature. A phone photo looks sharp when zoomed out, but the bottom line disappears after cropping. Retake it with more space around the edges, correct the corners and open the exported PDF at full size before sending.

What to check before you finish

  • Do not rely on a scan whose small print is unreadable.
  • Some institutions require the original document, not a digital scan.
  • Confirm the exported file before deleting a source image.
