Before you begin
A PDF may be an interactive form, a fixed page or a scan. The right editing approach depends on which of those you have.
First inspect the file. If you can select form fields, they may be interactive. If the page is a scan, you will probably need to place text or a drawn signature on top of the page rather than fill a native field.
1. Prepare the file
Keep a copy of the original before making changes. Find the exact fields that need an entry and check whether the recipient specifies a format or signature method.
2. Add text and signature
Open the document in PDF FORMS, use the text tool for the relevant line and position it carefully. Use the signature or drawing feature only when a handwritten-style signature is acceptable for that document.
3. Review every page
Look for clipped text, overlapping marks and missed pages. Export the file, reopen it and confirm that the signature and dates stayed in place.
4. Deliver the right version
Share only the final file with the intended recipient. If the form requires a certificate-backed digital signature, a drawn signature is not necessarily equivalent.
A practical example
A supplier emails a fixed PDF acceptance form. You need to type the reference number, date and your name, then draw a signature. Keep the original, add overlays to a copy and inspect the resulting PDF. If the supplier explicitly requires a qualified digital certificate, do not assume the drawn mark will meet that requirement.
What to check before you finish
- Keep the original document unchanged until the final file has been accepted.
- A visible signature image and a verified cryptographic PDF signature serve different purposes.
- Avoid putting sensitive forms into public chat or public sharing links.

Use the actual tool
For the current feature set, visit the PDF FORMS product reference, then open its official website. Do not rely on an old screenshot or instructions if the live interface has changed.
